How we collect, use and protect your personal information.
CedarPro (“we”, “us”, “our”) runs this website and the signed-in CedarPro platform. This policy explains what personal data we collect, why we collect it, how we use it and the choices you have over it. It is written to comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are
CedarPro is an AI capability transformation and agentic solution delivery partner working with enterprise, education and public sector organisations. For the purposes of data protection law, CedarPro is the data controller for personal data collected through this website.

2. What information we collect
Information you give us
- Your name, work email address and organisation when you submit an enquiry or discovery call request
- Details you choose to share about your organisation type, team size, service interest, timeline, budget range and the problem you want to solve
- Any information you include in emails or follow-up correspondence
Information collected automatically
- Basic technical data such as browser type, device type and pages visited, where analytics tools are enabled (see our Cookie Policy)
- Server logs maintained by our hosting provider for security and reliability
We do not knowingly collect special category data through this website, and we ask that you do not include sensitive personal information in enquiry forms.
If you create an account and use the CedarPro platform, we also process your account details and the content you upload — see section 9 (The CedarPro platform).
3. How we use your information

- To improve our website and understand which content is useful
- To meet legal, accounting or regulatory obligations
We do not sell personal data. We do not use enquiry data for unrelated marketing without your consent.
4. Lawful bases
- Consent - when you submit an enquiry form and tick the consent box
- Legitimate interests - responding to business enquiries, securing our website and improving our services
- Contract - where processing is necessary to take steps before entering into, or to perform, a contract with you
- Legal obligation - where we must retain records by law
5. How long we keep your data
Enquiry data is kept for as long as needed to handle your enquiry and for up to 24 months afterwards, unless a business relationship follows. Contractual and financial records are retained for the periods required by law. Data is deleted or anonymised when no longer needed.
6. Sharing your information
We share data only with service providers who help us operate - such as website hosting, email and scheduling providers - under appropriate agreements, and with professional advisers or authorities where required by law. Where a provider processes data outside the UK, we ensure appropriate safeguards such as adequacy regulations or standard contractual clauses are in place.
7. Your rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you
- Ask us to correct inaccurate data
- Ask us to delete your data (“right to be forgotten”)
- Restrict or object to our processing
- Receive your data in a portable format
- Withdraw consent at any time, where consent is the lawful basis
To exercise any of these rights, email hello@cedarpro.co.uk. We will respond within one month. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
8. Security
We apply proportionate technical and organisational measures to protect personal data, including encrypted connections (HTTPS), passwords stored only as salted one-way hashes (bcrypt — we never store or see your password), access controls, role-based administration and minimising the data we collect in the first place.
9. The CedarPro platform (your account and the AI tools)
When you create an account and use the interactive tools at cedarpro.co.uk/app, we process additional personal data as data controller:
- Account data — your name, organisation (optional), email address and a securely hashed password.
- Content you provide — the documents and text you upload or enter, and the analyses, results and decisions generated from them. This content is yours; it may itself contain personal data, and you control what you submit.
- Activity records — a record of the analyses you run and the decisions you sign off, kept in your account’s audit trail.
How the AI processing works. To produce an analysis, the content you submit is sent over an encrypted connection to our AI processing provider, which acts as our processor (sub-processor) and runs a large language (reasoning) model to generate the output. We instruct you, in our Terms of Use, not to upload special-category or otherwise sensitive personal data, or any information you are not authorised to share. We do not use your content to train third-party models, and we do not sell it.
Lawful basis. We process this data to provide the service you have asked for (performance of a contract and our legitimate interest in operating the Platform).
Storage, retention and deletion. Your account and analysis data are stored in our database hosted within the UK/EU. Your analyses and account remain until you remove them. You can delete any individual analysis at any time, and you can permanently delete your entire account — which removes your analyses, uploaded content and audit trail — from Account settings, or by emailing us. An administrator may also remove an account at your request or where required.
The Platform sets one strictly-necessary cookie to keep you signed in (see our Cookie Policy). The tools are interactive demonstrations of our capabilities; the Terms of Use apply.

11. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last revised. Significant changes will be highlighted on this page.
