Property AI for the admin that eats the week

Agency and property management are document and enquiry businesses. The listings, the compliance packs, the repairs queue and the tenancy paperwork are exactly the work AI handles well - as long as the material information is right, because that part is now a legal obligation.

  • Material information aware
  • Property data stays yours
  • No valuation claims
Working in real estate
The pressure right now

What we hear from real estate

  • Material information requirements adding detail to every listing
  • Enquiries arriving out of hours and going cold before anyone replies
  • Compliance documents - EPC, gas, electrical, deposit - chased manually per property
  • Repairs and maintenance triage consuming the property management team
  • Tenancy paperwork and renewals handled differently by every branch
Where it pays off

Six places AI earns its keep here

Not everything on this list will apply to you. Most organisations start with one and extend once it has been measured.

Listing content

Property descriptions drafted from your own survey and floor plan data in a consistent house style, with the material information fields checked as present before publication.

Enquiry response and qualification

Immediate, accurate first responses to portal and website enquiries, with viewing availability and qualification questions handled and anything unusual passed to a negotiator.

Compliance pack assembly

Tracking which certificates exist, which expire when and which are missing per property, and drafting the chase - the single most common source of lettings risk.

Repairs and maintenance triage

Classifying reported issues by urgency and responsibility, routing to the right contractor and keeping the tenant informed, with emergencies escalated to a person immediately.

Tenancy administration

Renewals, notices and reference chasing produced from your templates so every branch does it the same way.

Portfolio reporting

The landlord report assembled from your management system rather than rebuilt by hand each month.

Where we would start

The first three moves

1

Fix response time first

Speed of first response is the most direct commercial lever in agency, and it needs no judgement to improve.

2

Automate the compliance chase

Expiry tracking and chasing is where the real liability sits and where manual processes fail quietly.

3

Standardise the templates

One set of listing, tenancy and landlord templates before automating any of them - otherwise you industrialise the inconsistency.

Risk and regulation

The part most suppliers skip

Where the risk sits

  • Material information obligations - an inaccurate or omitted detail in a listing is a consumer protection matter
  • A valuation or price recommendation presented as professional advice
  • Tenant and landlord personal data, including references and financial detail
  • Deposit, right-to-rent and safety certificate obligations that carry statutory penalties
  • Accessibility of tenant-facing communication channels

How we handle it

Listing content is generated only from your own verified property data, and the material information fields are checked as present before anything can be published - the system will not invent a tenure or a council tax band.

We do not build valuation tools. A price opinion carries professional liability and, where an RICS member is involved, professional standards; drafting support is not a substitute for either.

Emergency repairs, vulnerability and anything with a statutory clock attached escalate to a named person by design, not by exception.

Questions

Questions from real estate

It drafts them from your verified data, and a person publishes. Given that material information errors are a consumer protection issue, an approval step is the correct design rather than an inconvenience.
Usually. Reapit, Alto, Jupix and the rest vary in how open their APIs are, so we confirm what is practical during scoping rather than promising integration blind.
Not from us. Automated valuation models exist as regulated commercial products with their own accountability; a general AI system producing a price opinion is a liability with no upside.
